To reach a receptionist press '0' or stay on the line.
If you know your party's extension you may dial it now, or press '1' for our company directory.
For emergency technical support press '2'.

Finally for more company information such as our address and product descriptions press '4'.

This message is probably a little verbose, but it gives you an idea of the flexability you have when configuring an Auto Attendant. Notice how incoming faxes are routed to the fax machine (which is plugged into extension 113), and if users don't press any buttons, they will go to the human receptionist at extension 111 - this is particularly useful for callers without a touch tone phone.

Configure the answering sequences as you like.

HOW: For example let an extension ring before the auto attendant picks up, or choose to have the auto attendant answer only on certain lines.

Link Auto Attendants together to help disseminate repetitive information.

Example: The first auto attendant could provide the name of your company, then provide choices to get additional information such as contact and mailing information, product or service information. At the same time, frequent callers can contact their party immediately.

Import professional greetings.

HOW: Take any prerecorded message and store it as a .wav file on your computer (lots of software can help you do this). Then download the sound files as an auto attendant, voicemail greeting, or even company promotional music-on-hold.

Option to screen incoming phone calls, then choose to accept or re-route the call.

HOW: Callers are asked for their name, when you pick up your office or cell phone, their name is played to you. You may then accept the call. If you decline the call, the call is re-routed as defined by you. For example you may choose to send the call to a colleague with a message saying you are busy, or have the caller sent to voicemail, or even have AirWay Voice Mail play a brief message saying you are presently unavailable. The choice is up to you.

Voice Mail

Introduction

Music-on-Hold

Introduction

  • Callers hear a pre-recorded message "Please Hold" and then your music selection when the Auto Attendant transfers the call.
  • Simply attach an audio device, such as a CD, tape, or audio output from a computer to the back of AirWay Voice Mail, then enable the Music-on-Hold in the software. AirWay Voice Mail uses a standard 1/8" inch mono phono jack - similar to most headphone jacks.
  • While almost all callers with silence on the line will hang up in less than a minute, callers with music will stay on the line for a longer period of time.

Details

  • Without Music-on-Hold enabled, callers will hear AirWay Voice Mail's default on hold beeping tone, and the extensions ringing.
  • If you do not plug an audio device into AirWay Voice Mail, and you have Music-on-Hold enabled, callers will hear silence with no beeping tone.
  • Lastly, if you have Music-on-Hold disabled and you have plugged an audio device into AirWay Voice Mail, callers will hear the music and a beeping tone.
Call Cascade

Introduction

  • AirWay Voice Mail can perform a series of call forwarding actions to try and reach you when you are not at your phone or your phone is busy.
  • Under four conditions per extension (Busy, Not Answered, Screened, or Do Not Disturb), you can choose to route the call to either a Local Extension, a Remote Extension, a Ring Group, Voicemail, an announcement or even to another Auto Attendant.
  • Re-routing possibilities are easy to configure with unlimited combinations.

  • Pre-configure AirWay Voice Mail to individually handle your company calls on all local, remote extensions, as well as extension ring groups.

Call Queue

Introduction

  • Automatically queue calls on a first-in, first-out basis if a Local Extension or Ring Group is busy.
  • Provide queued callers the option to leave a message, remain on hold or return to the auto attendant.

Details

  • Callers in the queue hear music on hold, and a prompt that tells them that their party is still on the phone. If the extension has a voice mailbox, the caller has the option to leave a voicemail. If the caller came from an auto attendant, they also have the option to back up to the previous auto attendant or wait on the line to make a connection.
  • You hear a single "beep-beep" when a call is queued at your extension, and a "beep-beep" for each additional person put in your queue.
  • To cycle through the callers, press "flash 7" to reach the next person in the queue.
Call Screen

Introduction

When you accept calls, you are immediately put in contact with them. More importantly when a call is rejected, you can pre-define how a rejected call is handled.

Details

For example, upon announcing the caller, you have the option to press '#' to accept the call or to reroute the call to the Call Cascade options by either hanging up or pressing '*'. Rerouting options include forwarding calls to a local extension, remote extension, extension ring group, built in voicemail, announcement, auto attendant or hang up. In the case where 'hang up' is selected, AirWay Voice Mail will first play the following prompt before hanging up: "I'm sorry, that extension is unavailable at this time. Please try again later."
Remote Extensions

Introduction

  • AirWay Voice Mail is capable of forwarding calls to up to 8 remote numbers.
  • Remote Extensions can be any telephone that is outside the office. Cell phones, a home telephone number, a branch office number, even a fax machine can all be used as a Remote Extension.
  • AirWay Voice Mail forwards the call to a remote extension by dialing out on one of your incoming phone lines. Thus any telephone number can be used as a Remote Extension.

Details

  • Calls can be forwarded directly or screened.
  • If you are unable to accept a call, the call can be transferred back to your office, sent to your voicemail, or given a busy signal - This is one example, but the settings can be defined by your Call Cascade settings.
  • AirWay Voice Mail provides seamless call forwarding. Callers are not aware they are being transferred out of your office instead they hear uninterrupted music-on-hold.
Distinctive Ring

Introduction

  • Distinctive Ring allows 2 telephone numbers to reach the same physical incoming phone line.
  • Two distinctive ring telephone numbers available on all lines.
  • Identify the incoming call by the ring pattern before you pick up the phone. For example, create a short-short ring for sales and a regular ring for technical support.
  • Distinctive ring numbers on AirWay Voice Mail's lines also have access to the auto attendant and all of AirWay Voice Mail's other call routing features.

How does it Work?

Call Back Call Bridge, work together to allow you to place calls from your home / office when you are away. For example, you may be overseas at a hotel and wish to check your voicemail and place some calls. Instead of using the expensive hotel lines, you can have AirWay Voice Mail call you, then place calls through the AirWay Voice Mail. Check your voicemail then place several calls all while staying connected; this saves you re-connection fees and uses your long distance savings plan at the same time.

Call Back : is the process where AirWay Voice Mail call you at a remote location.

Call Bridge: allows you to use the AirWay Voice Mail phone lines to make outbound calls or transfers to local and remote office extensions. You will first need to call into the AirWay Voice Mail from an outside phone number.

There are two methods of Call Back:

Auto Call Back: A predefined number is calls once you initiate the call back. Program the number where you will be staying as the call back number. When you reach your destination, call your AirWay Voice Mail, let it ring twice, then hang up. The AirWay Voice Mail will call you back!

Prompted Call Back: Lets you change the call back number and any message played each time you initiate the call back. If you are traveling to a variety of destinations, or you don't know the telephone number of the hotel, you can change the call back number once you arrive at your destination.
